This Privacy Policy explains how Ecommercelab (trading as EmuStats, “we”, “us”, “our”) collects, uses, stores, and discloses information when you access or use our website, applications, and services (the “Services”).

This policy is intended to align with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). If you do not agree with this Privacy Policy, do not use the Services.

1) Who this policy applies to

The Services may be used by:

  • Organisations (clubs, schools, associations, leagues, businesses) and their authorised users (admins, coaches, staff), and
  • Consumers (for example parents/guardians or players who create an account and pay directly).

If you use the Services on behalf of an organisation, you confirm you have authority to do so and to provide information (including Personal Information) to us.

2) Personal Information we collect

“Personal Information” generally means information about an identified individual, or an individual who is reasonably identifiable.

We may collect the following categories of information:

(a) Account and profile information

Name, email address, login details (password is stored in hashed form), organisation name/details (if applicable), preferences, and account settings.

(b) Team, competition, and player data

Information entered into the Services such as teams, players, rosters, fixtures, results, statistics, match notes, and related records. This may include player dates of birth and contact details (and, depending on what your organisation enters, details about parents/guardians).

(c) Uploads and files

Videos, images, documents, and other files you choose to upload for match analysis or record-keeping.

(d) Billing and subscription information

Subscription status, plan level, invoice details, and payment status. Payment processing is handled by Stripe and we do not store full card details.

(e) Support communications

Messages you send to support, feedback, and information you provide when you contact us.

(f) Usage, device, and log information

Device type, browser type, operating system, IP address, pages viewed, feature usage, and event/log data used for analytics, performance, and security.

(g) Cookies and similar technologies

We use cookies/local storage and similar technologies for authentication, security, preferences, and analytics (see section 7).

3) How we collect information

We collect information when you:

  • create an account or update your profile,
  • use the Services and enter Content (including player information),
  • upload files,
  • subscribe or pay for a plan,
  • contact support, or
  • interact with the Services (automatically via logs/cookies).

If you are invited to an organisation’s account, your information may be provided by an admin (for example your name and email).

4) Children and minors

The Services may be used to manage teams that include minors.

If you upload or enter Personal Information about a minor (including date of birth and contact details), you confirm that you have a lawful basis to do so, including any required parent/guardian consent or authorisation.

If you believe Personal Information about a child has been provided to us without proper authorisation, contact us and we will take reasonable steps to investigate and remove it where appropriate.

5) How we use information

We use information to:

  • provide, operate, maintain, and improve the Services,
  • create and administer accounts and authenticate users,
  • manage subscriptions, billing, and payments,
  • provide customer support and respond to requests,
  • monitor usage, diagnose issues, and improve performance,
  • maintain safety and security, prevent misuse, and investigate suspicious activity,
  • communicate service-related messages (for example password resets, billing notices, changes to services/policies),
  • comply with legal obligations and enforce our terms.

Aggregated and de-identified analytics

We may create and use aggregated and/or de-identified data derived from the Services (for example platform analytics and performance metrics) to operate, improve, and develop the Services. This data is intended not to identify you or any individual.

6) How we share and disclose information

We disclose information only as needed to operate the Services, including:

(a) Service providers (processors)

We use trusted third parties to help us run the Services (for example hosting, storage, logging/monitoring, email delivery, analytics, and security providers). This may include Cloudflare and Google services such as Google Analytics and Google Tag Manager. We only disclose information necessary for them to provide services to us and we take reasonable steps to ensure they handle information appropriately.

(b) Within an organisation

If you are part of an organisation account, information you provide may be visible to that organisation’s admins and authorised users according to the permissions set in the Services.

(c) Legal requirements and protection

We may disclose information if required or authorised by law, or to protect rights, safety, and security (for example responding to lawful requests, enforcing our terms, preventing fraud, or addressing security incidents).

(d) Business transactions

If we are involved in a merger, acquisition, restructure, or asset sale, information may be disclosed as part of that transaction (subject to confidentiality and applicable law).

We do not sell Personal Information.

7) Cookies and analytics

We use cookies and similar technologies to:

  • keep you signed in and maintain sessions,
  • remember preferences,
  • secure the Services and detect abuse,
  • understand usage and improve the Services.

You can manage cookies through your browser settings. If you disable cookies, some features may not work correctly.

8) International data transfers

We may process or store information in countries other than your own (for example where our service providers operate data centres). Where applicable, we take reasonable steps to ensure appropriate safeguards are in place consistent with applicable privacy laws.

9) Data security

We use administrative, technical, and physical safeguards designed to protect information against unauthorised access, loss, misuse, or alteration. However, no method of transmission or storage is completely secure, and you use the Services at your own risk.

If we become aware of a data breach that we are required by law to notify, we will take reasonable steps to comply with those obligations.

10) Data retention and deletion

We retain information for as long as necessary to:

  • provide the Services,
  • maintain business records,
  • comply with legal obligations,
  • resolve disputes, and
  • enforce agreements.

If you request deletion or close your account, we will take reasonable steps to delete or de-identify Personal Information, subject to legal, security, technical, and operational requirements. Some information may be retained in backups for a limited period.

11) Your rights and choices

Depending on your relationship with us and applicable law, you may request:

  • access to Personal Information we hold about you,
  • correction of inaccurate or incomplete information,
  • deletion or de-identification (where applicable),
  • export of certain information (where available).

You can also update certain information through your account settings.

Complaints

If you have a privacy concern or complaint, contact us and we will respond within a reasonable time. If you are not satisfied, you may be able to contact the Office of the Australian Information Commissioner (OAIC).

12) Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated policy and revise the “Last updated” date. If changes are material, we may provide additional notice through the Services or via email.
